Lead management software connected to your customers and orders
Each channel gets its own form or webhook URL and its own fields. Leads land on a board with your statuses, then move to a customer card and a new order.
In short
StoreChart's lead management software collects enquiries for online stores from three sources: a public form, a token-based webhook and manual entry. Each lead gets a running number, a status from your own list and an activity log, and one with a phone or email is linked to a customer card. There's no lead scoring or CSV import.
Leads from every source on one board
Forms, webhooks or manual entry, each with its channel's fields
- A channel per source with its own fields: text, number, date, phone, email or a pick list, and you choose which are required
- A public form at its own link, with a headline, button colour and thank-you message you write
- A token-based webhook URL, ready code samples in cURL, JavaScript, Python and PHP, and a log of every request received
- Table or kanban view, with drag-and-drop between status columns and a count for each status
- Create or link a customer card in one click, or open a new order with the customer and store already filled in
Lead management software features
Six things that happen to every lead from the moment it arrives
How to start receiving leads
Three steps to the first lead on your board
Pick a store, give the channel a name and colour, and choose whether it's a public form or a webhook. Add the fields the channel needs.
Share the form link, or paste the webhook URL into the sending system, such as a Make.com scenario. Enquiries by phone are typed in by hand.
Move leads between statuses, add notes, and convert to a customer or an order when the deal closes.
Lead management software: how a working day runs
Channels: where leads come from
A store gets enquiries from several directions in the same week. Lead management software only helps if they all land in one list, with nobody retyping them.
- A channel per source: a site form, a campaign landing page, a wholesale quote request or a phone call.
- Its own fields: a wholesale channel can ask for a business name and quantity, a landing-page channel just a name and phone.
- A new lead: gets a running number, the channel's name and the channel's default status.
- Customer link: a lead with a phone or email is attached to the matching customer card.
- Several stores: the store picker decides which leads you see, and the statuses are shared across stores.
Open a separate channel per source, even when the fields match. That way you see how many leads each channel brought, and an automation can target a single channel.
Form, webhook or manual entry
The choice depends on where the enquiry starts:
- Public form: for when you have no form of your own. You get a link, choose the required fields and write a headline and thank-you text.
- Webhook: for when there's already a form on your site, a landing-page builder or a Make.com scenario. The sending system posts JSON to a URL with a token, and a missing required field returns an error that names it.
- Manual entry: for phone calls and WhatsApp enquiries, using the fields of the channel you pick.
Every webhook channel keeps a request log: what was sent, what came back, and whether a lead was created, a duplicate was caught or the request was rejected. If the URL leaks, regenerate the token and the old one stops working right away.
Lead tracking on the kanban board
- A column per status: each card shows the number, date, channel and estimated value, if one was sent.
- Drag between columns: move a lead from New to In conversation by dragging it.
- Search a column: by name or phone, when someone calls back.
- Notes and log: a note lives on the lead itself, and every change is logged with the name of whoever made it.
- Alerts: the menu shows how many leads came in today, and the bell holds a notification with the lead's name and channel.
- Summary: a card at the top of the page shows how many leads are in the list and their combined estimated value.
Example: a furniture store
Illustrative only. A furniture store gets about 40 enquiries in an ordinary week:
- 25 from the site form.
- 10 from a campaign that runs through Make.com.
- 5 phone calls typed in by hand.
In the morning the sales manager opens the kanban and finds eight leads in the New column. An enquiry sent at 8 pm is waiting in the bell. She moves the people she has already spoken to into In conversation and adds a note.
WhatsApp automations and order conversion
A status change can do more than move a card:
- New lead: an automation on Lead created sends an opening message before anyone on the team has touched it.
- Status change: moving a lead to a status like Quote sent sends a WhatsApp template with the customer's name and a value from one of the fields.
- Customer reply: lands in the shared WhatsApp inbox, with that number's open leads shown beside it.
- Closing the deal: create an order from the lead. The lead is marked as converted, and the new-order screen opens with the customer and store filled in.
Who it's for and what's not included
- Good fit: stores and small businesses that receive enquiries regularly and want them tied to customers and orders.
- Weaker fit: a large sales team that needs several pipelines, forecasts and lead scoring.
- One pipeline: the status list is shared by every channel and store, and there's no lead scoring.
- Import: there's no CSV import for leads, and the AI chat widget on your website doesn't open leads.
- Estimated value: arrives only through the webhook. The public form and manual entry have no field for it.
- Assigning a rep: not available. To split the work, open a task with the lead's name and assign it.
Sources that can send you leads
Lead management software: common questions
How do I connect my website form?
Send the form to a channel's webhook. Every channel gets a URL with a token and ready code samples, and the form posts JSON with the fields you defined. If the form is built in a tool that doesn't let you write code, a Make.com scenario can pass the submissions to the same URL.
Can I collect leads without a website or form of my own?
Yes. A public-form channel gets its own page at a link you can put in your Instagram bio, a message or an ad. You choose which fields show and which are required, and what the button and the confirmation say.
What happens when the same person submits the form twice?
It depends on timing. An identical submission that arrives again within a short window, such as a double click, merges into the existing lead. A new enquiry from the same person later on opens as a separate lead, and both are linked to the same customer card by phone.
How is a lead's estimated value set?
It's sent in the estimated_value field with the lead through the webhook. The value shows on the lead's card on the board, and the summary card adds up the values of the leads in the list. The public form and manual entry have no such field.
Can a new lead get an automatic WhatsApp message?
Yes, through the communication module. An automation on Lead created or Lead status changed sends a WhatsApp template or starts the AI agent, with a delay if you want one, and you can limit it to a specific channel. You need a connected WhatsApp Business number.
Can I import leads from a file?
Not by file import: there's no CSV import for leads. You can send existing leads to a channel's webhook, one lead per request, for example from a Make.com scenario that reads a spreadsheet. Note that each of those counts as a new lead and triggers notifications and automations.
Can I see a lead from inside a WhatsApp chat?
Yes. The shared WhatsApp inbox has a side panel that shows, by phone number, the contact's open leads with their status, value and a link to each one. The panel appears when the Leads module is included in your plan.
